Overview
Seasons Suites Hotel is a premium hospitality provider committed to delivering exceptional guest experiences while improving operational efficiency and reducing energy consumption. The hotel required an intelligent Hotel Room Automation System capable of integrating room booking information with automated room power control to streamline daily operations. The solution was designed to automatically activate room power during guest check-in, disconnect electrical loads after checkout, provide a dedicated housekeeping operating window, and enable real-time monitoring of room occupancy and power status through centralized monitoring. By automating room power management based on booking status, the hotel aimed to reduce unnecessary electricity consumption and support sustainable hotel energy management.
To support its digital transformation initiative, Seasons Suites Hotel partnered with Niraltek to implement an IoT-enabled Hotel Room Automation System integrated with a Hotel Energy Management System (EMS). Powered by the NTS IoT Gateway, the solution supports Wi-Fi, Ethernet, and GSM SIM connectivity for reliable communication between hotel rooms and the centralized monitoring platform. The intelligent automation enables room power control based on guest booking status, RFID card authentication, and predefined operational rules, improving energy efficiency while enhancing hotel operations.
Objectives of the Hotel Automation System
The objective of the project was to implement an intelligent Hotel Automation System by integrating room occupancy information from the Hotel Booking Software with an IoT-enabled Hotel Energy Management System, enabling automated room power control and improved operational efficiency.

Business Challenges
Before implementing the Hotel Room Automation System, Seasons Suites Hotel faced several operational challenges that affected energy efficiency, staff productivity, and overall hotel operations.
Manual Room Power Control
Hotel staff had to manually switch room lights, air conditioning, and other electrical equipment on or off during guest check-in and checkout. This increased staff dependency, consumed additional time, and reduced operational efficiency.
Energy Wastage
Room lights, air conditioning, and electrical appliances often remained switched on even after guests checked out or when rooms were vacant. This resulted in unnecessary electricity consumption and increased energy costs.
Lack of Booking Integration
The hotel booking software was not integrated with the room power management system. As a result, room power could not be automatically controlled based on guest check-in or checkout status, requiring manual intervention.
Limited Operational Visibility
Hotel management did not have a centralized platform to monitor room occupancy, room power status, RFID activity, or energy usage in real time. This made it difficult to track operations and identify opportunities for energy savings.
Operational Delays
Housekeeping and maintenance staff had to manually activate room power before cleaning or servicing rooms. This increased room turnaround time and delayed guest readiness.

Hotel Room Automation System Solution
Niraltek implemented a customized IoT-enabled smart hotel automation solution integrated directly with the hotel’s Booking Management Software. The solution also serves as a Guest Room Management System (GRMS), enabling intelligent room power control, RFID-based access management, centralized monitoring, and seamless hotel room automation.
The solution automatically synchronizes guest check-in and check-out information with the room power control system. Once a guest checks in, room power is activated remotely through the centralized platform. During the guest’s stay, room power remains active according to the booking duration. At the end of the booking period, the system automatically disconnects the air conditioning and subsequently switches off room lighting after a predefined delay, preventing unnecessary energy consumption.
The solution is powered by the NTS IoT Gateway, which provides secure communication through Wi-Fi, Ethernet, and GSM SIM connectivity while enabling centralized monitoring and automation across hotel rooms.

Hotel Booking Layer
Guest booking information, room allocation, and check-in/check-out status are automatically synchronized with the Energy Management System.
IoT Communication Layer
The NTS IoT Gateway securely transmits operational data using Wi-Fi, Ethernet, and GSM SIM connectivity, ensuring reliable communication between hotel rooms and the centralized monitoring platform.
Room Automation Layer
Each hotel room is equipped with an intelligent controller forming part of the Hotel Room Automation System. The system manages lighting, air conditioning, and electrical circuits using booking information and RFID authentication to support seamless Guest Room Automation.
Central Monitoring Platform
Hotel administrators can monitor room occupancy, room power status, energy consumption, and system performance through a centralized dashboard.

RFID-Based Room Access
The solution supports three RFID access profiles:
Room Display Access
When a guest checks in, the room is automatically activated through the hotel booking system and an RFID access card is assigned. Guests simply tap their RFID card to access the room. During the booking period, room power remains active. If the RFID card is removed while leaving the room, non-essential electrical loads remain powered for approximately 10 minutes before automatically switching off to conserve energy.
Extended Checkout Management
If guests request additional stay time beyond their original booking period, hotel staff can extend the checkout time directly through the Hotel Booking Software after completing the required payment process. The updated booking duration is automatically synchronized with the Hotel Room Automation System, allowing room power and air conditioning to remain active until the revised checkout time without any manual intervention.
Housekeeping RFID Access Card
Used by hotel maintenance and housekeeping staff. This card keeps room power active for approximately 30 minutes, allowing sufficient time for cleaning and maintenance activities.
Emergency RFID Access Card
Provides continuous room power for emergency situations or maintenance activities without automatic timeout until manually disabled.
Automatic Checkout Power Management
When the guest’s booking period ends, the Hotel Room Automation System automatically disconnects the room air conditioning based on predefined operational rules. Approximately 30 minutes later, room lighting and other non-essential electrical loads are switched off automatically. This intelligent sequence minimizes unnecessary energy consumption while ensuring efficient hotel operations.

Provides real-time monitoring of room occupancy, room status, RFID activity, and operational conditions from a centralized dashboard.
